Terms of service

ScoreSyncHQ is a house points and recognition system for schools. Schools create a private space, invite staff, and use it to award points, track standings and celebrate achievement.

These terms apply to everyone who uses the system — school owners, administrators, teachers, house leaders, parent coaches and volunteers. By signing up or signing in, your school agrees to them.

Your school's account belongs to the school. The person who creates it acts on the school's behalf and is responsible for who is invited.

Each person signs in with their own account and shares their school's access level: owner, administrator, teacher, house leader, or parent coach or volunteer.

Staff accounts are for staff use only. Keep sign-in details private and tell us promptly if an account is compromised so it can be locked or removed.

School administrators manage their own staff, students, houses and settings. We do not intervene in day-to-day school decisions except where these terms or the law require it.

The system is for genuine school recognition — please don't use it to harass, single out, or embarrass students or colleagues, or to store anything unrelated to your house points programme.

Don't attempt to access another school's space, probe or disrupt the service, scrape data, or resell access. Automated bulk actions or attempts to manipulate standings or power-ups unfairly are not permitted.

We may suspend an account or school space that breaks these rules, with notice where practical.

New schools start with a 30-day free trial with no card required. When the trial ends, the school keeps working only on an active paid subscription, a complimentary arrangement, or free access we have granted.

Paid plans are billed through Stripe in New Zealand dollars, monthly or yearly as chosen. Prices shown on the pricing page are the prices charged; Stripe handles card details and we never store them.

Subscriptions renew automatically until cancelled. Cancellation stops future renewals — the school keeps access to the end of the paid period. If a payment fails, we will contact the school and access may pause until it is resolved.

Public pages — the homepage school finder, public rankings and school scoreboards — show school names and house totals only. Student names never appear publicly.

Schools control whether they appear in public search and rankings, and trial accounts are kept out of public discovery. House and school logos remain the property of the school that uploads them.

We work hard to keep ScoreSyncHQ available — live standings, real-time updates and awards are the core of the system — but no service is perfect. Occasional downtime for maintenance or issues beyond our control may happen.

Points records are kept append-only, so the history always adds up even when awards are reversed. If something does go wrong, contact us and we will help put it right.

We improve the system over time — new features, tweaks and occasionally removing things that are no longer used. Material changes that affect how schools use the service will be communicated before they take effect.

These terms may also be updated. Continued use after an update means the school accepts the revised terms.

A school owner can cancel the subscription at any time from billing settings. We can also remove a school's data on request.

School data is handled per our Privacy & student data page — export what you need, and we remove live records when the account closes.
